Privacy Policy

Overview
PaperHouse is a personal memory app for recording, writing, transcribing, organizing, and revisiting your own thoughts. This privacy policy explains what information PaperHouse collects, how we use it, who we share it with, and the choices you have.
Because PaperHouse can contain personal journal entries, voice recordings, transcripts, and summaries, you should only record or upload content that you have the right to store and process.
Information We Collect
Account information. We collect your email address and account identifier so you can sign in and sync your data. Most users sign in with an email verification code. In limited cases, such as app review or testing, an account may use a password-based sign-in.
Content you create. We collect the notes, titles, audio recordings, imported audio files, transcripts, edited text, summaries, speaker labels, suggested titles, and related metadata that you choose to create or upload in PaperHouse.
Audio and transcription metadata. We store information such as audio duration, waveform data, processing status, error state, and whether a recording contains multiple speakers.
Settings and preferences. We store app settings such as display name, language preferences, daily reminder preferences, local feature settings, and similar preferences.
Personal dictionary. We store custom vocabulary terms that you choose to add, such as names, places, projects, or other phrases that help PaperHouse improve transcription quality.
Usage and service data. We collect information needed to operate the service, such as transcription usage, weekly quota state, timestamps, sync status, and server logs used for security, debugging, abuse prevention, and reliability.
How We Use Information
We use the information we collect to:
- create and manage your account;
- save, sync, restore, and display your journal entries;
- upload, store, play back, and cache audio recordings;
- transcribe audio and improve transcription using your selected language preferences and personal dictionary terms;
- format transcripts, generate summaries, and suggest titles;
- track transcription usage and enforce service limits;
- respond to support requests;
- protect the security and reliability of PaperHouse.
We do not sell your personal information, and we do not use your content for advertising or cross-app tracking.
Third-Party Service Providers
We use service providers to operate PaperHouse. These providers process data only as needed to provide the service to us. We require service providers that process user data for PaperHouse to protect that data consistently with this policy and applicable privacy and security requirements.
Supabase. We use Supabase for authentication, database storage, private audio storage, realtime sync, and edge functions. Your synced journal data and uploaded audio are stored in Supabase under your account.
AssemblyAI. We use AssemblyAI to transcribe audio recordings. When transcription is requested, PaperHouse creates a temporary signed URL for the relevant audio file and sends it to AssemblyAI for processing. PaperHouse may also send your selected language preferences and enabled personal dictionary terms to improve transcription quality. AssemblyAI returns the transcript and speaker information to PaperHouse.
Google Gemini API. We use the Google Gemini API to format transcripts, generate summaries, and suggest titles. PaperHouse sends transcript text and speaker segments to Gemini for this purpose. Our Gemini API project is on a paid tier, and API logging and dataset sharing are disabled for this project.
Device Permissions
Microphone. PaperHouse asks for microphone access so you can record audio entries. Recording starts only when you choose to record.
Files. PaperHouse may use the system file picker when you choose to import an audio file.
Clipboard and sharing. PaperHouse uses clipboard and share features only when you choose actions such as copying text or exporting audio.
PaperHouse does not request access to your location, contacts, camera, photos library, or advertising identifier.
Local Storage and Cloud Sync
PaperHouse stores data locally on your device so the app can work quickly and keep drafts or cached audio available. This includes a local database, local audio files, and authentication tokens stored using secure device storage.
PaperHouse also syncs your account data to our cloud backend so your entries can be processed, backed up, and restored after signing in. Synced account data includes journal content, settings, language preferences, personal dictionary terms, and related metadata. Clearing cached audio removes local cached audio from the device, but it does not delete your cloud account or synced cloud data.
Retention and Deletion
We keep your account data while your account is active or as needed to provide PaperHouse. You can delete individual entries in the app. Deleted entries may be retained briefly as sync tombstones so deletion can propagate across devices.
You can delete your PaperHouse account in the app from the profile/settings area. Account deletion deletes your PaperHouse account, synced journal entries, transcripts, summaries, usage records tied to your account, synced settings, personal dictionary terms, and uploaded audio files from PaperHouse systems. After account deletion succeeds, PaperHouse also removes local user data and local settings from the device.
Some information may remain for a limited time in backups, provider logs, security records, billing records, or other records we are required or permitted to keep for legal, security, abuse prevention, or operational reasons.
Your Choices
- You can choose whether to create text entries or audio entries.
- You can deny microphone access, though audio recording will not work without it.
- You can delete entries in the app.
- You can add or delete personal dictionary terms in the app.
- You can clear cached audio from the device.
- You can delete your account in the app.
- You can contact us for help with access, export, deletion, or correction requests.
Children
PaperHouse is a general-audience app and is not directed specifically to children under 13. If you are under 13, please use PaperHouse only with permission from a parent or guardian. If we learn that we have collected personal information from a child under 13 without appropriate parental consent, we will take reasonable steps to delete that information.
Security
We use technical and organizational safeguards designed to protect your information, including authenticated access, private storage, row-level access controls, encrypted transport, and secure local session storage. No method of transmission or storage is perfectly secure, so we cannot guarantee absolute security.
Changes to This Policy
We may update this privacy policy from time to time. If we make material changes, we will update the effective date and provide notice as appropriate.
